Role Overview

We are seeking an organised and proactive part-time Marketing  Assistant to provide comprehensive marketing and communications support in delivering a year-round campaign to market The Boat Race and its associated events. This role would be part-time year round, rising to full-time for the period 8 February 2027 – 23 April 2027, to cover the nine weeks into the race plus one week afterwards.

This role will involve delivering a communications strategy to market the Boat Race to new and existing fans along with administrative support for ongoing marketing and communications activity. This role will work very closely with all members of our small, dedicated team.

Key Responsibilities

Marketing

  • Assist with delivery of the marketing plan, driving digital follower growth and engagement, and driving in-person attendance and broadcast numbers
  • Assist with planning and delivery of media opportunities alongside the Marketing and Communications Manager.
  • Manage our ticketing platform, for our events and hospitality sales.
  • Be the main point of contact for updating the website, working with our external web development agency.
  • Plan, write and schedule our regular email newsletters to database. Manage the database and optimise for performance.
  • Working with the Marketing Manager, ensure that the submission, recording and storage of student data and photographs is completed following agreed processes.
  • Work closely with our photography, videography and PR agencies as required.

Social media

  • Take ownership of posting, optimising and community management across all our social media channels. Note this does not include content creation or video editing / graphic design.
  • Analyse data to drive results.
  • Work to an agreed schedule of posting and reporting.
  • Work closely with our photography and videography agencies.

Administration

  • Maintain timelines, trackers, and documentation across multiple event projects.
  • Attend, take notes and distribute actions from internal and external meetings.

On-site Event Support

  • Be available for on-site delivery during key event periods including Trial VIIIs (11 and 12 December), media days (Feb/March) Tideway Week and Race Day (11 April 2027).

Person Specification

Essential

  • Be a digital native, comfortable taking ownership of the day to day management of our social media, website, database and ticketing, to an agreed schedule and with clear brand and tone of voice guidelines.
  • Highly organised with excellent time management and attention to detail. Comfortable working across multiple projects with varying timelines.
  • Good interpersonal skills and confidence in liaising with a wide range of stakeholders.
  • Good team player able to work independently and take initiative to solve problems.
  • Willingness to work flexible hours during event periods.

Skills/Experience

  • Writing skills to produce copy for the website/newsletter.
  • Experience in managing social media accounts, optimising posts, responding to trends, analysing results and reporting.
  • Two years’ experience in a marketing role, preferably in sport.
  • Proficient in Microsoft Office, Excel and PowerPoint and collaborative file systems
  • Experience with project management tools and CRMs is important.
  • Experience with WordPress essential.
  • Experience working in design or photography/videography would be a benefit but isn’t a prerequisite.
  • This role is hybrid splitting time working from home together with meetings in the South East, Putney (start of the Boat Race Course) as well as at scheduled events in London.

Role Overview

The Boat Race Company Ltd (BRCL) is seeking a part-time dynamic and detail-oriented Event Executive to join our team. The successful candidate will report to the Operations Manager and will play a crucial role in planning several events culminating in the main event -The Boat Race 2027. The role will be focused on the detailed planning and execution of individual events, working closely with stakeholders (clubs, other BRCL execs, clients, suppliers, councils) and vendors to bring the events to life.

This position is ideal for someone with excellent organisational skills, and the ability to work independently and within a team in a fast-paced environment.

Primarily a remote working role but would prefer the applicant to be located in the London/South East region so that they can attend event sites/BRCL meetings.

Key Responsibilities

Event Logistics & Coordination

  • Input into master event schedules, timelines, and operational planning documents.
  • Regularly updating of the project management systems and files to track task progress and deadlines.
  • Oversee the access and inventory of the BRCL storage lock-up.
  • Manage uniform ordering, storage and distribution, including volunteers, staff, umpire and off water club kit.
  • Organise staff and athlete food and drink provisions for events.
  • Manage BRCL accommodation requirements at all events.
  • Maintain operational equipment and kit including scales, megaphones, stopwatches, lifejackets and merchandise sales equipment.
  • Coordinate trophy delivery including return, and security arrangements in advance of key events.
  • Support the Launch Coordinator in planning Tideway Week and Boat Race Day for all launch requirements, booking of launches across the season.
  • Collaborate with others eg Partnership Manager and Exec Secretary to manage guest and launch passenger lists across launches.
  • Ad hoc operational support for Operations Manager.
  • Support the collation and organisation of accreditation.

Volunteer & Crew Support

  • Recruit and liaise with volunteers.
  • Collaborate with Exec Secretary to schedule volunteer roles at The Boat Race.
  • Collaborate with Exec Secretary to draft and deliver regular communications to all volunteers and temp staff.
  • Act as primary point of contact for temporary event crew.
  • Manage event accreditation ordering, allocation and distribution at all events, including name badges, wristbands and event accreditation.
  • Coordinate all briefing materials for volunteers and temporary staff.
  • Organise the volunteer and temp staff debrief to inform ‘Wash-Up’.

Merchandise

  • Collaborate with Exec Sec to liaise with supplier.
  • Responsible for managing stock.
  • Organise deliveries, record sales.
  • Work with Operations Manager to organise in person sales facilities
  • Deliver marketing support for in-person merchandise sales.

Administration

  • Maintain timelines, trackers, and documentation across multiple event projects.
  • Attend, take notes and distribute actions from Operations and ROC meetings.
  • Create and distribute debrief forms for volunteers, compile event summaries, and contribute to post-event reporting for each event.
  • Assist in the creation of Event Documentation.

On-site Event Support

Role Overview

This is a unique opportunity to shape, deliver and grow premium partnerships, luxury experiences and high-profile activations across an internationally recognised sporting property with a growing global audience and support in delivering a year-round partnership program for The Boat Race and its associated events.
  • Working at the heart of a small Boat Race team, the successful candidate will lead the delivery of integrated commercial partnerships across live events, broadcast, digital and hospitality environments, whilst driving the growth and commercial evolution of partnership within the event.

Key Responsibilities

Partnership Management and Activation

  • Lead the end-to-end management of commercial partnerships across the full partnership lifecycle, from onboarding and strategic planning through to activation, reporting, renewal and growth opportunities.
  • Develop and implement partnership plans with clear objectives, deliverables and KPI frameworks to ensure successful delivery and measurable impact.
  • Lead the onboarding process for new partners, including briefing materials, planning sessions and activation roadmaps.

Merchandise and Licensing

  • Act as a key liaison with the Master Licensing Agent to support the continued growth and development of merchandise and licensing opportunities.
  • Ensure a focused and close relationship with the marketing/comms team to ensure and measure weekly that we deliver the key merchandise revenue growth.
  • Oversee all event retail and merchandise sales operations, coordinating closely with BRCL marketing teams to maximise promotion and audience engagement.
  • Work with the Managing Director to identify and develop new opportunities to grow merchandise sales, licensing revenue and associated commercial activity that delivers revenue growth.

Skills and Experience
